Job Title: Female Business Executive Assistant

Starting Monthly Salary: QAR 6,000 - QAR 6,800 (Full Package / All in)

Job Description: We are seeking a motivated and highly organized Female Business Executive Assistant to join our dynamic team. Reporting directly to the General Manager, you will play a pivotal role in ensuring the smooth operation of the executive office and supporting the business in its day-to-day activities. As the Executive Assistant, you will be responsible for managing the administrative tasks and providing comprehensive assistance to the General Manager to help them focus on strategic decision-making and overall business growth.

Responsibilities:

Administrative Support: Efficiently manage the General Manager's calendar, schedule appointments, and coordinate meetings, ensuring their time is optimized. Handle incoming and outgoing correspondence, including phone calls, emails, and other forms of communication. Prepare and distribute meeting agendas, presentations, and reports as necessary.

Travel Arrangements: Coordinate all travel arrangements for the General Manager, including flight bookings, hotel accommodations, transportation, and other related logistics. Ensure travel plans are organized, cost-effective, and aligned with the General Manager's preferences and schedule.

Confidentiality and Discretion: Maintain the highest level of confidentiality and handle sensitive information with utmost discretion. Handle confidential documents, contracts, and other legal matters while ensuring their safekeeping and appropriate access.

Relationship Management: Foster positive and professional relationships with internal and external stakeholders, including executives, employees, clients, and partners. Serve as a point of contact and maintain open lines of communication to facilitate efficient information flow and collaboration.

Meeting Coordination: Organize and coordinate internal and external meetings, conferences, and events. Prepare meeting materials, draft agendas, record minutes, and follow up on action items to ensure timely completion.

Research and Analysis: Conduct thorough research on various topics, competitors, market trends, and industry developments to support the General Manager in making informed decisions. Prepare detailed reports, summaries, and presentations based on the gathered information.

Project Support: Assist the General Manager in managing and monitoring ongoing projects, ensuring deadlines are met, and progress is tracked. Collaborate with other team members and departments to gather relevant information and contribute to project success.

Special Projects: Take ownership of special projects assigned by the General Manager, ensuring their timely and successful completion. Demonstrate strong problem-solving skills, resourcefulness, and a proactive approach to overcome obstacles and achieve project goals.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Proven experience as an Executive Assistant or in a similar role, preferably in a fast-paced environment.
  • Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  • Exceptional verbal and written communication skills, including strong editing and proofreading abilities.
  • Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle confidential information with discretion and maintain a high level of professionalism.
  • Strong attention to detail and accuracy, with a keen eye for identifying errors or inconsistencies.
  • Excellent interpersonal skills and the ability to build effective relationships with diverse stakeholders.
  • Proactive, self-motivated, and able to work both independently and as part of a team.
  • Knowledge of the restaurant industry and its operations is a plus.
