We are looking for an experienced, organized, and self-motivated receptionist to join our team. We are a property management company with a portfolio including residential, commercial and self-storage properties. You will play a key role in administrative tasks, and setting a tone of professionalism and positivity in our corporate office. You will be the first face seen or voice heard for the company and directly support the directors of the organization. Excellent communication skills, reliability, and the ability to multitask are vital. Experience with Office Suite, a working knowledge of general office equipment and procedures, and strong writing skills are a plus.
Job Duties:
- Greet clients and visitors, communicating their arrival to the correct employee
- Answer phones and direct incoming calls accordingly
- Forward emails from answering service to the correct property personnel
- Prepare outgoing mail daily
- Process and distribute incoming mail
- Order Office Supplies weekly according to budget and standards
- Maintain office equipment (printer, postage meter, etc.) , and schedule service when needed
- Update and maintain all company directories
- Communicate residential and commercial emergency information to the answering service in a timely matter
- Notify answering service in advance of changes in schedule or closures
- Maintain organized office files, physical and digital
Qualifications:
- Bachelor's or associate's degree strongly preferred
- Experience in a professional office setting, knowledge of office equipment and procedures
- Strong Office Suite knowledge base
- Excellent communication skills
- Great organizational skills and attention to detail
- Ability to multi-task and manage your time
- Positive attitude and willingness to learn
Job Type: Full-time
