The intake specialist is the first point of contact for clients and is an integral part of the Intake Department that is responsible for providing red-carpet service to our prospective clients, and for generating new business for the firm by obtaining case details that will allow our firm to determine if a case should be retained, and by assisting with the finance duties. The ideal candidate is able to work some weekends and/or after regular business hours, as needed. This is a full-time position.
Duties and responsibilities
· Placing, answering, screening, and forwarding all calls, and assisting with callbacks as it relates to potential clients of the firm.
· Assessing whether leads meet the firm criteria for accepting cases.
· Gathering background case information from various outlets and patching calls.
· Persistently monitoring all potential leads, and continually following up with pending leads.
· Preparing contracts/retainer agreements, running initial payment, and submitting/processing DocuSign, as needed.
· Opening and handling new case files, reviewing/confirming information is correct.
· Contact the prosecutor’s office, court clerks, probation departments to gather case information, as necessary.
· Assisting with the case intake process, ensuring all information related to new cases is present and accurate.
· Scheduling, reviewing, recording, and processing payments, as needed, via Law Pay, Clio, Phone, Venmo, Zelle, Cash App, etc.
· Other duties as assigned.

Skills and Qualifications
· Education: High school diploma or associate degree
· Exceptional written skills with the ability to take excellent notes
· Solid verbal communication skills with the ability to speak with clients via phone to gather initial case information
· Personal skills
· Must type 40-50 wpm
· Bilingual: Proficient in Spanish (reading, speaking, and writing)
· Tech savvy/computer literate
· Able to take directive and execute accordingly
· Professional demeanor
· 1-2 years of excellent customer service or sales skills, required
· Detailed oriented and organized
· High degree of accuracy, especially with numbers, required
· Excellent problem-solving skills
Physical requirements
· Must be able to remain in a stationary position 90% of the time, and infrequently move items weighing up to 10 pounds across the office for various needs; to do substantial and repetitive movements/motions of the wrists, hands, and/or fingers; to have close visual acuity to view a computer terminal; and to move around the office varying distances; to reach, push, pull, talk, hear, as needed. Work is performed in an internal office environment and requires the ability to operate standard office equipment and keyboards.
